Summary:
Company Documents is an area where you can store files that can be accessed by any Job to be pulled in and emailed. If your Location uses Smart(er) Docs, this is where you will manage your Smart Documents.
Requirements:
All Roles can access this area and Download a copy of the Documents, but the following actions require an Office, Manager, or Administrative Role to perform:
- Creating new Document Folders
- Editing Document Folder Name and Permissions
- Deleting Folders
- Editing Document Name/Description
- Moving Documents between Folders
- Deleting Documents
Hover over Tools at the top of your screen and select Company Documents.
Company Documents
How to add a Document-
1. Click the Add a Document button at the top
2. Choose an existing folder or create a new one to store the document
3. Select the document you want to upload
How to edit the name of the Document-
1. Click the three blue dots to the right of the Document you want to rename
2. Select "Settings"
3. Type in the new Document Name, and an optional Description.
4. Click "Save"
How to delete a Document-
1. Click the three blue dots to the right of the Document you want to Delete
2. Select the Delete option.
3. Click the checkbox "Yes, I want to delete the selected document"
4. Click "Delete"
How to create a New Folder-
1. Click the Add Folder button at the top
2. Give your new folder a name
3. Select what roles will have access to this folder
4. Click "Save"
How to edit the permissions of a Folder-
1. Click the three blue dots to the right of the Folder you want to change permissions
2. Select the "Edit Folder" option
3. Click the "Selected Users or Roles" option
4. Click "Select Users or Roles"
5. Select the users and roles you wish to have access to the folder
6. Click "Apply"
How to move a document to a different Folder-
1. Click the three blue dots to the right of the Document you want to move.
2. Select "Move To Folder"
3. Select which Folder you want to move the Document to
4. Click "Save"
How to delete a Folder-
1. Click the three blue dots to the right of the Folder you want to delete.
2. Click the checkbox "Yes, I want to delete the selected Folder"
3. Click "Delete"
Using Filters/Search Bar-
- Use the Search for a Document at the top left to search for a specific File. Results will look in the Document Name, Description, and File Type and highlight yellow for any exact matches.
- Use the View Folders filter to show/hide specific Folder(s).
Notes:
- You can Move/Delete/Download more than one Document at a time by checking the boxes for each Document on the left and then choosing Actions at the top.
- Folder Names cannot be less than 3 characters.
- Folder Permissions always allow Company and Location Administrators.
- You can only upload one Document at a time.
