Adding Subcontractors & Crews
Mobile Crew App
The AccuLynx Labor Manager helps you manage your Subcontractors and their Crews that will be Assigned to your Labor Orders. The Labor Manager also controls the Subcontractors and Crews linked to your AccuLynx Account via our new Mobile Crew App.
The Labor Manager requires Manager, Location, or Company Administrator Role to access this area.
1. Hover over the Tools menu at the top and select Labor Manager
2. The Labor Manager displays each Subcontractor, and any additional Labor Crews they are managing.
3. The menu bar at the top of the page contains filters...
- Sort by Subcontractor Name
- Sort by Status
- Sort by Trade Type
...and search to help focus the information on what is important to you.
4. In Labor Manager, when the Mobile Crew App Add-on is enabled, the display of the Labor Manager changes, allowing you to easily invite Subcontractors and Crews.

5. Within the Labor Manager, Subcontractors are the Managers or Team Leads through which Labor on AccuLynx is organized, there are different ways you can use this structure to manage your Labor Teams.
Subcontractor as a single labor resource. This is when a Subcontractor manages a single Team (of which they are a member), they don’t manage any additional Labor Crews outside of their own Crew.
This shows a Subcontractor who works for himself with others, but doesn’t have additional Labor Crews outside of their own Crew that they manage.
Since the Subcontractor isn’t schedule-able in AccuLynx, "Qualtek" is also listed with Thomas Weinicki as the Crew Lead. AccuLynx Users will see "Qualtek" as a schedule-able resource when they are creating a Labor Order or Assigning a Crew.
A Subcontractor who manages multiple Labor Crews, where they may or may not be a Crew Lead on one or more of those Crews.
This shows a Subcontractor who manages 3 Crews. Joseph Biggiet is the owner of "Biggie’s Contracting" and the manager of all these Teams. He’s the person AccuLynx Users work with when scheduling Jobs, paying Invoices, or if there are issues with quality or performance of the work of his Crews. Joseph Biggiet manages 3 Crews (1 Gutters and 2 Roofing). One of the Roofing Crews is managed by him, and he works with that Crew on Job sites to deliver the work. The other two Crews have Crew Leads he’s Assigned, and those Crews are managed by those Crew Leads, people he trusts to deliver quality work on behalf of his business.
AccuLynx users will see "Team Big’s", "KennyPowers", and "Flynn" as schedule-able resources in the selection menus for choosing a Crew they use when creating a Labor Order or using Production Tools.
A Subcontractor as Labor Type where someone manages multiple Labor Crews that are organized under a specific Labor Category.
These examples show how you can use the Subcontractor area as a way to organize Teams by Labor Category, in these examples it would allow you to easily structure all your Asphalt Shingle Teams under the Asphalt Roofing and the same for your Gutter Crews. You can do this for any Labor Category
6. To add a new Subcontractor, click “Add Subcontractor” button at the top of the page.
If the Subcontractor is not an AccuLynx user, a first and last name is required. All other information is optional ... but, if you plan to eventually invite them to use the Mobile Crew App, you will need to have their mobile phone number, so AccuLynx recommends you add it at this time.
If the Subcontractor is an existing AccuLynx User, select “Yes”. Then, choose someone from the list of AccuLynx Users.
If you are going to invite an existing AccuLynx User to the Mobile Crew App, they will need to have a mobile phone number stored in their User Account, so you may need to go to Manage Your Team and find their User Account and add a mobile phone number
Click “Add” when finished.
7. Let’s look at the other actions available under the Subcontractor’s 3-dot menu.
Subcontractor Details
• Here is where you edit the Contact Details about a Subcontractor, view the Trades associated with Crews that Subcontractor manages. You can also add Business Documents like Insurance Paperwork or Contractor Licenses.
• Choose Edit at the top of the Subcontractor section to add or change Contact Details. Select “+Add Document “ at the bottom to add Business Documents.
• “Edit a Subcontractor” to change their Contact and Billing Information.
• “Delete Subcontractor” to remove them and all of their Crews from the Labor Manager.
• If you try to Delete a Subcontractor and have already scheduled work with their Crews, you will need to Reassign work to other available Crews.
"Add a Crew"
• Adding a Crew will allow you to enter in Details about the Crew that a Subcontractor is managing. This will include information about the Trades they work with and setting a Crew Color for the Production Tools. To learn more about adding Trades, please click here.
Next designate the Crew Lead. This is the person in charge of the Crew and typically works the Job site. By default, the Subcontractor is always selected as the Crew Lead. If your Subcontractors typically manage their own Crews, you can leave it like that.
• If you have someone within that Labor Crew acting as a Crew Lead, then select “Other” and you can replace the Subcontractor’s name with the new Crew Lead’s first and last name.
• If an existing AccuLynx User is to be the Crew Lead, the select “Yes”, and choose from the list of names.
If the Mobile Crew App Add-on is Enabled, you will also have the option to Invite the Subcontractor to use the Mobile Crew App, do this by selecting the "Invite to Mobile Crew App" option from the 3 dot menu.
If you’ve included a valid cell phone number you will be able to manage the Permissions on what information they can see, as well as how long the information persists on their mobile devices.
