Scheduling Orders
At the bottom of the Scheduler is the “To Be Scheduled” drawer. Notice that next to the title is a counter showing the number of Orders that need to be Scheduled contained within this drawer.
Click the “To Be Scheduled” bar to reveal a list of Orders that need some Assignment. You can adjust the height of this drawer by clicking and dragging the top edge of the blue bar and dragging to the desired height within your browser window.
Within the “To Be Scheduled” drawer, Jobs are displayed in Order Cards, and each row is an Order. Some are Material, some are Labor, and some are both Material & Labor.
Change the Sort Order of the list by clicking the column headings.
Let’s look at the information contained on a Material and Labor Order Card, starting from left to right.
- The drag handle along the left edge is where you click to drag and drop an Order on to the Timeline for Scheduling.
- Clicking the round plus button on Orders will move them to the Priority List at the top, allowing you to quickly and efficiently focus on Scheduling a subset of Orders that need your immediate attention. Remove Orders from the Priority List by clicking the minus button on the left side of the Order Card.
- The Account Representative’s initials.
- The Trade for that specific Order.
- The Order Number and Customer Name.
- Any part of the Order Card that is outlined is a button. When clicked, it will open a corresponding information drawer.
- Clicking the Order Number opens the Production Overview drawer.
- Clicking the Customer's Name opens the Job page in a new tab.
- The other details like Phone Number, Address, Job Age, if money has been collected for the Job, and any Criteria or Holds for the Order.
The Order Card also holds the Material and Labor Status areas.
- In the Material Status area:
- White is Pending.
- Gray is Complete.
- Pink is Scheduled for Today.
- You can tell the status by looking at the color coding.
- The abbreviations “W”, “O”, and “D” stand for: “Waiting to Order”, “Ordered”, and “Delivered” respectively.
- The Delivery Date, if one exists, is also listed.
- Click anywhere in the Material Status area to open the Material Order drawer.
- To the right of the Material Status, if entered, is the Supplier for the Order.
- Next, the Labor Status area:
- The same color designations apply for Labor as with Material.
- The abbreviations “A”, “W”, and “C” stand for: “Assigned”, “Working”, and “Completed” respectively.
- If Labor has been Scheduled, the Start and End Dates will be shown.
- The Crew color is next. If no Crew has been Assigned, this will be gray with a striped pattern. Hover over the Crew color to see the Assigned Crew.
- Click anywhere inside the Labor Status area to open the Labor Ticket drawer.
To Schedule an Order, click on the drag handle and drop it onto the Timeline on the desired date.
Don’t worry about precision, as you will be asked to verify the Date, Time, Supplier and Crew Assignment before anything is Assigned.
You will be asked to verify all orders individually before they are saved to the timeline.
Bulk scheduling can be a real time saver.
To view more of the Timeline, you can collapse the “To Be Scheduled” drawer by clicking anywhere on the blue bar at the top of the drawer.
