In Production Tools, the Order Manager lists all of your Approved Material and Labor Orders by Status; making it easy to sort, filter, and search to find the Orders you are looking for.
Requires the Elite Version of AccuLynx to access this area.
Material Orders
Labor Orders
Within the Order Manager, you can quickly view details, change Status, Reassign Labor, set Order Dates, placing Orders with Distributors, Printing Orders, or Emailing Orders. You can even perform bulk actions on multiple Orders at once.
We display Material and Labor Order details as Order Cards. The information displayed on each Card gives an overview of that Order within the AccuLynx Production Tools. Order Cards are listed under the tab corresponding to the current Status of each Order.
Let’s take a look at the ways you can filter the Order Cards that are displayed.
First, select Material Orders or Labor Orders.
Use the Filters to focus on:
- The Age of the Job.
- A view of the information based on Start Dates for Labor Orders or Delivery Dates for Material Orders.
- A singular Trade or Trades.
- List only Orders with Special Criteria or that are on Hold.
- Single out Orders where Money has been Collected for the associated Job.
- You’ll see a green dot within the Filters button when a Filter is currently being applied.
You can also just search by keyword when you are looking for very specific things like Orders with the same Crew Assigned, a specific Job Number or Zip Code.
The Orders displayed are separated into tabs. Each tab holds Orders that are within that specific Status.
Material Orders have the statuses: “Waiting to Order”, “Ordered”, and “Delivered”
Labor Orders have the statuses: “Assigned”, “Working”, and “Completed”. Within each tab, next to the status name, is a number. This number indicates the orders that are currently within that status.
The blue button labeled “Actions” to the right of the order status tabs lets you perform bulk Actions on multiple Orders at once. To perform an Action, you must first select one or more Orders. Click the checkbox at the left edge of an Order Card to select an Order.
Bulk Reassignment allows you to Reassign any group of selected Orders by Date. This allows you to select the dates in the future that you are moving these Jobs to.
Bulk Reassignment also allows you to Reassign any group of selected Orders to a different Crew.
Material Order Cards
Let’s focus on Material Orders and look at the information contained within a Material Order Card. This is the row of information displayed within the Production Tools that represents a Material or Labor Order. You can also sort the Order list view by clicking on the column headers within each Status tab.
Selecting a column header will display the Orders within the tab, alphabetically or numerically, and in ascending or descending order.
The Order Card
- The checkbox allows you to select that Order. When an Order is selected, you can use the Actions menu to take a specific Action on that Order. You can select multiple orders and perform an Action on all of them.
- The Sales Rep’s Initials.
- The Trade for that specific Order, Job Purchase Order (PO) Number and the Customer’s Name.
- Note that parts of the Order Card that are outlined in blue are buttons. When they are clicked, they open a corresponding information drawer.
- The multi-page icon indicates that this Order is one of several Orders associated with this Job.
- When you click on the Job PO Number, the Production Overview drawer opens. This is where you will view any Customer Contact Information, Payment History, and any additional Orders associated with this Job.
- You will also be able to view any Production Notes and Order Flags for the Order you are currently viewing.
- Clicking the Customer Name gives you access to all the information stored in the Job by opening the Job file in a new tab.
- The Order Card also shows other details like Customer Phone Number and Address. It displays the Age of the Job, if Money has been Collected, and any Special Criteria or Holds for the Order.
Labor Order Cards
The Labor Order Card has the same color designations as the Material Order Card and displays the following Labor Statuses:
- “A”, “W”, and “C” which stand for: “Assigned”, “Working”, and “Completed” respectively.
- If Labor has been Scheduled, the Start and End Dates will be shown.
- The next color indicator is for the Crew Assigned to the Order.
- Hover over the Crew color area to see the full name of the Assigned Crew.
- Just like on the Material Order Card, clicking anywhere inside the blue outline of the Labor Status area will open the Labor Ticket drawer.
Labor Ticket Drawer
- The Labor Ticket drawer shows the Job Name, Customer Name, and Address.
- It gives you a link to the Job file, the Production Overview, and also displays the Scheduled Start and End Dates of the Labor Order.
- It displays the Crew that has been Assigned, the Labor Order details, and any specific Crew Instructions for the Job, along with Labor Contacts.
At the far right of every Order Card is a 3-dot menu where you can perform specific Actions for that Order.
Within the three dot menu, you can:
• Edit the Order Progress, where you can view and edit the following Order details:
- The Assigned Crew.
- The Date the Crew was Assigned.
- The Start and End Dates for the Labor to be done.
- The Status of the Labor Order.
• Email Order will create a PDF of the order and attach it to an email.
• Print Order will create a PDF of the Order and open the Print dialog.
• You can also move the Order along to the next Status (Assigned to Working or Completed, Working to Completed), or revert to the previous Status (Completed back to Working).
