Summary:
Attribute specific payments with specific invoices by linking payments, and send customers paid receipts after payment. Marking invoices as paid removes the dollar amount from accounts receivable.
How to:
To link a payment to an invoice, first input the payment on the payments page of the job file. Once input, navigate to the invoice section of the job file by choosing Invoices from the Job Activity Bar.
Click the three dot menu on the invoice that has been paid. Choose Link Payment.
Check the box next to the appropriate payment that should be applied to the invoice. Choose either Apply or Apply and Send. Apply marks the invoice as paid and removes the dollar amount from A/R Aging. Apply and Send gives you the option to immediately send the paid receipt to the customer via email, save the receipt as a PDF, or print.
If you choose Apply and Send, you will see the preview invoice screen. Notice, this version will have a red PAID stamp shown on the invoice and a zero balance due. You will also have the check boxes to modify what is shown on the invoice. Check and uncheck boxes to add or remove items. Choose to Save as PDF, Print Invoice, or Email Invoice.
Email:
Select email. If there is an email for the primary contact in the job file, it will automatically be selected. You can add additional email addresses, if needed. Input any personal message you’d like to include in the body of the email. The invoice will be sent as an attachment. Click Send.
