Summary:
Inviting customers to view the customer portal is simple and easy. There are two methods in which a customer can receive an invitation.
Manually, where a team member will click a button to construct and send the invitation.
Automatically, where the system will send an invitation on your behalf when certain criteria is met.
Manual Invitation:
On the job overview page, users can click the "Invite to Customer Portal" button to manually initiate an invitation to the portal.
Invitations can be sent via text message or email.
Emails and texts can be customized before sending.
Automated Invitation:
Under the automation manager, a new automation is added when Customer Portal is enabled that will send the customer an invitation to view the portal when a job milestone is moved to "Approved".
By default this automation is turned off, and must be turned on by a company admin.
A new automation action will be available, allowing AccuLynx users to configure their own Customer Portal invitations using the standard automation triggers.
Portal invitations can be sent by email or text, if texting is enabled. Customers will be sent a link, that cannot be edited, to join the customer portal.
Messages can be updated using the standard automation tools
Important Portal User Information
Customer Portal invitees MUST have a validated phone number associated with their record to send a portal invitation regardless of the invite method.
Customer Portal invitees are send an access code authenticating their phone number before portal access is granted.
When a portal user tries to access the customer portal for the first time, they will be prompted to enter their mobile number to receive the access code. This phone number must match the number associated with their contact record inside AccuLynx to receive the code.
** The texting add-on does not need to be enabled for this access code to be sent**
Automated portal invitations will fail to send if the contact does not have a VALID mobile number
**We have been successful during testing to show that this functionality works with VOIP services such as Google Voice and Zoom.**
Our system will validate the number automatically.
