We recommend making these changes to your QuickBooks Online Settings for optimal data syncing.
Re-Recording Invoices:
For QuickBooks Online to Accept Re-Recorded Invoices, in the event you must change or update your Invoice you will want to make the below changes to your QuickBooks Online Settings or else the updated invoices will not push to QuickBooks.
- Open your QuickBooks Online and navigate to Settings >> Account and Settings >> Sales
- Check that 'Custom transaction numbers' is turned OFF
Track Expenses by Customer
In order to sync over Expenses and Bills to AccuLynx you will need to turn on the below setting in your QB Online Account.
- Click the Gear icon at the top.
- Select Accounts and Settings
- Click Expenses from the left menu.
- Select the pencil icon in the Bills and expenses section.
- Turn on Track expenses and items by customer
Displaying Classes:
For QuickBooks Online to push the Class Field on the Invoice to QuickBooks you will want to make the following change to your QuickBooks Settings
- Go to Account and Settings
- Next click Advanced
- Next pick Categories
- Assign Classes should be set to “one to entire transaction.”
Syncing Sales Rep information to QuickBooks Online
For use when you have Sales Reps added into QuickBooks Online and you have them mapped up within AccuLynx under the Tools Menu > QuickBooks Settings area. Making these changes will allow the Sales Rep information to display on the Job/Invoice information in QuickBooks Online.
- Click the Gear Icon on the Top Right in QuickBooks
- Click on All Lists
- Click On Custom Fields
- Click on Add Field if there is not a field already named Sales Rep
- The form should be filled in as shown below:
In Quickbooks you will add your Sales Reps under Payroll in the Employees area.
